STUDENT ORGANIZATIONS

We are here to make your events possible in the Student Union complexes across campus. Whether you are hosting a performance, weekly meeting, or webinar, we are here to help you make it a reality. For more information on how your student organization can book space(s), follow the steps below or request a space here.

    • Meet with your Student Organizations, Leadership & Engagement (SOLE): Your SOLE advisor will help you review all details of your event. Please be sure to keep them aware of any changes.

    • Key deadlines to make a reservation:

      • Meeting Rooms- Due one week prior

      • Event venues- Due one month prior (up to a year in advance)

      • Student Union Event Fund Applications- Due at least 30 days prior (up to a year in advance)

    • Request an event online through EMS

      • Register for an account for your student organization (signatories only).

      • Browse dates for our venues & meeting rooms

      • Request a reservation & select additional services.

    • Our Reservations team will initiate a UCLA Events Online Event Registration form (only sent to the student signatory).

      • EOL policy under usage guidelines

    • Review our Student Union policies. All events and activities in the Student Union follow ASUCLA, university policies, and fire/life safety guidelines.

    • Complete the Student Union Event Planning Worksheet for event venues

      • Most meeting room reservations do not require the completion of the Student Union Event Planning Worksheet. An event planning worksheet will only be required for meeting rooms if it is associated with an event venue.

    • Make an appointment with an event manager or reservationist to discuss the details of your event (ex. A/V needs, room layout, catering needs, merchandise or ticket sales, etc.).

      • Preliminary Diagram – How do you want the revenue set up? (theater style, cabaret, boardroom, reception, etc.

      • Preliminary Estimate – Obtain a preliminary estimate of charges. Click here to see a complete Student Union price list for Registered Student Groups. Tier 3 are off-campus clients, Tier 2 are University departments, and Tier 1 are student organizations and ASUCLA. Please note that the pricing guide offers an approximate price and does not include staffing, rentals, or other additional expenses.

      • Fund is allocated on a first-come, first-serve basis.

      • Applications are accepted up to 1 year in advance.

    • Lottery Guidelines

      • If your student organization would like to reserve a weekly meeting room in Ackerman Union or Kerckhoff Hall, please sign up to be part of our lottery.

      • This google form will start accepting responses Week 7 for sign ups on The google form will close. Results are announced on Thursday of Week 7.

      • Failure to sign up on time will mean that your organization will not be part of our lottery and will have to wait until the lottery ends to reserve a weekly meeting room.

      • Results of the lottery will be emailed to the signatories that responded to the google form on May 13th and will be posted outside of the A-Level Front Desk in Ackerman Union and on the lottery section of our website.

    • Lottery Process

      • Lottery appointments will take place through zoom.

        • The signatory that signed up will be receiving a zoom link specific for their lottery date.

        • We will be taking daily lottery appointments on a first come first serve basis through the waiting room in zoom.

      • Please note that every appointment takes approx. 15-20 minutes. We appreciate your patience with us as we work on finding the best rooms for your organizations.

      • Do not come to the reservationist office for your lottery appointment.
