Many elements go into planning and executing a successful program. Here are some resources and guidelines to help you.

Meet with your SOLE advisor

Meet with your Student Organizations, Leadership & Engagement advisor to review all details of your event, and be sure to keep him/her aware of any changes.

Make a Reservation

Make reservation requests and browse our venues & meeting rooms online through our Event Management System (EMS) WebApp.

  • Register for an account for your campus department or student organization (signatories only for student orgs)
  • Browse dates for our venues & meeting rooms
  • Request a reservation & select additional services

Register your event/meeting.

  • Our Reservations team will initiate a UCLA Events Online Event Registration form, (only sent to the student signatory).

Preliminary Planning

  • Take a look at our Venue Gallery to familiarize yourself with our spaces.
  • Review the planning page for basic event information.
  • Review our Student Union policies. All events and activities in the Student Union fall under ASUCLA and university policy.
  • Depending on the details of your event, you may be required to complete an Event Reservation Worksheet BEFORE booking the event venue. This is not necessary for simple meeting room bookings.

Detailed Planning for Event Venues

  • Complete the Student Union Event Planning Worksheet
  • Make an appointment with an event manager to discuss the details of your event (ex. A/V needs, room layout, catering needs, merchandise or ticket sales, etc.).
    • Preliminary Diagram – How do you want the revenue set up?
    • Preliminary Estimate – Obtain a preliminary estimate of charges. Click here to see a complete Student Union price list for Registered Student Groups.
